This policy explains how application fees, payment failures, cancellations, eligible refund cases and non-refundable situations are handled across the Smart Hiring platform.
Employers and recruiters make all decisions relating to interviews, shortlisting, selection and hiring. A paid application only supports the processing and submission of the application for the selected job opportunity.
Duplicate charges, failed application recording or confirmed platform errors may qualify for review.
Rejection, no interview, no shortlist or a change of mind normally does not create refund eligibility.

Welcome to Smart Hiring. This Refund & Cancellation Policy explains the rules and conditions applicable to application fees, payments, cancellations, and refunds made through the Smart Hiring platform.
Smart Hiring is an online job listing and recruitment facilitation platform that allows employers and recruiters to publish job opportunities and allows candidates to submit applications for available positions.
Certain job opportunities listed on Smart Hiring may require candidates to pay an application fee before submitting an application. Other job opportunities may be completely free to apply for.
This policy applies to all payments made by users through Smart Hiring in connection with job applications and related services.
Some job listings on Smart Hiring may require an application fee. The applicable fee, if any, will be displayed on the relevant job listing before the candidate proceeds with payment.
The application fee may vary from one job listing to another. The fee is determined based on the application settings configured for the particular job opportunity.
If a job listing does not require an application fee, candidates may submit their applications free of charge.
Before completing a paid application, the candidate is responsible for reviewing the job details and confirming that the application fee displayed on the payment page is correct.
Payment of an application fee does not guarantee employment, an interview, shortlisting, selection, or any other employment opportunity.
An application fee is charged for the processing and submission of an application for a particular job opportunity. Payment does not influence or guarantee the recruitment decision of the employer or recruiter.
Candidates understand and acknowledge that the final decision regarding interviews, shortlisting, hiring, and selection is made by the relevant employer or recruiter.
Paying an application fee does not create a promise of an interview, shortlist, selection or employment.
If a job listing is marked as a free application, no application fee will be charged to the candidate.
Free applications are not eligible for refunds because no application fee has been collected.
A free application cannot generate a refund because no application payment has been collected.
A candidate may decide not to proceed with an application before completing the payment process.
If payment has not been successfully completed, no payment will be collected by Smart Hiring and therefore no refund will be applicable.
Once an application fee has been successfully paid and the application has been submitted, the payment is generally non-refundable.
Candidates should carefully review the job description, eligibility requirements, location, experience requirements, compensation information, and other relevant details before completing payment.
A candidate's decision not to continue with the recruitment process after submitting an application does not normally qualify for a refund.
Review the full job listing and eligibility requirements before confirming a paid application.
Although application fees are generally non-refundable, Smart Hiring may consider a refund in exceptional circumstances, including:
Refund eligibility will be determined on a case-by-case basis. Submission of a refund request does not automatically guarantee that a refund will be approved.
Application fees are generally non-refundable in the following situations:
An employer or recruiter may decide to close, pause, cancel, or modify a job opportunity at any time.
A job may also become unavailable because a candidate has been selected, the position has been filled, the employer has cancelled the hiring requirement, or the application deadline has expired.
The closure, cancellation, expiration, or modification of a job listing after an application has been successfully submitted does not automatically qualify the candidate for a refund.
However, Smart Hiring may review exceptional circumstances where the application could not be processed due to a verified technical issue or an error attributable to the platform.
If a payment attempt fails and the transaction is not successfully completed, the candidate will not be considered to have successfully paid the application fee.
If the candidate's bank account or payment method is debited despite the payment being shown as failed, the candidate should contact Smart Hiring with the relevant transaction details.
Smart Hiring will investigate the transaction and, where appropriate, coordinate with the payment service provider to resolve the issue.
Keep your transaction reference, payment date, amount and payment-provider status available for investigation.
If a candidate is charged more than once for the same application due to a verified duplicate transaction, Smart Hiring may process a refund for the duplicate payment after verification.
Candidates should provide the relevant transaction IDs, payment references, dates, and other information necessary to investigate the duplicate transaction.
A verified duplicate charge may be refunded after the transaction records have been reviewed.
Payments may be processed through third-party payment gateways or payment service providers.
Payment processing may be subject to the terms, policies, and technical systems of the relevant payment provider.
Smart Hiring does not store complete debit card, credit card, UPI, or banking credentials on its own servers unless explicitly stated otherwise.
Payment-related information may be processed by the relevant payment service provider in accordance with its own privacy policy and terms of service.
Third-party payment providers may apply their own processing terms, security controls and refund timelines.
To request a refund, the candidate should contact Smart Hiring using the official contact details provided on the Contact page.
The refund request should include sufficient information to identify the transaction, such as:
Smart Hiring may request additional information where necessary to verify the transaction and determine whether the refund request is valid.
Once a refund is approved, the refund will generally be initiated through the original payment method used for the transaction.
The time required for the refunded amount to appear in the candidate's bank account or payment account may depend on the payment gateway, bank, card issuer, or other financial institution involved.
Smart Hiring cannot guarantee the exact time required by a third-party payment provider to complete a refund.
Transaction and eligibility information is verified.
The approved amount is initiated through the original method.
The bank or payment provider completes the credit.
Where permitted by applicable law and disclosed before payment, certain payment processing charges or transaction costs may be non-refundable.
Any applicable charges will be handled in accordance with the terms of the relevant payment provider and the circumstances of the refund.
Processing charges may remain non-refundable where permitted by law and disclosed before payment.
If you believe that an unauthorized transaction has been made using your payment method, you should immediately contact your bank, card issuer, or payment service provider.
You should also contact Smart Hiring so that we can review the relevant transaction.
